A clear process.
No black boxes.

From first conversation to measurable results. Here's exactly how we work, what you can expect at each phase, and what gets delivered.

01

Discovery & Audit

Week 1

We start by understanding your business: your team, your tools, your workflows and how AI is already being used. We map what you do today, find where automation, an AI rollout or cleaner data would have the highest impact, and write down what done looks like before any work starts.

Deliverables

  • Operations audit and SOP mapping
  • Tech stack and current AI use review
  • Prioritized opportunity list
  • A written pass/fail definition of done for each piece of work
  • Scope and timeline recommendation
02

Design & Architecture

Week 1–2

We design around your actual constraints: your budget, your team's technical comfort and the tools you already have. Every automation gets its approval level here, set by how reversible the action is and how far it reaches, before anything is built.

Deliverables

  • Workflow architecture diagrams
  • Tool and platform recommendations
  • An approval level for every automation
  • Implementation roadmap
  • Project scope, pricing and sign-off
03

Build & Deploy

Weeks 2–8

We build, and someone other than the builder checks it. Automations, AI agents, web builds and training are tested against the definition of done from week one, and every deploy is verified on the live system, not just the build. You get regular updates and a clear view of progress against the roadmap.

Deliverables

  • Workflow, agent and website builds
  • Independent review before anything ships
  • Live verification after every deploy
  • Approval screens that show the amount, the recipient and the change
  • Full handoff documentation
04

Optimize & Grow

Ongoing

We monitor, measure and improve. Every build step is logged, and once a month we read the log back and turn what we learned into rules. For retainer clients, this is where the relationship compounds, each month building on the last.

Deliverables

  • Performance monitoring and alerts
  • Monthly reporting and read-back
  • Every fixed issue turned into a check that keeps it fixed
  • Continuous workflow improvements
  • Quarterly roadmap reviews

The same method we run on our own site

These come from our own build log, read back every month. We hold your work to them, and we publish our own audit to show we hold ours to them too.

The bar is written first.

Every task gets a pass/fail definition of done in writing before it starts. Work with no bar does not start.

Someone other than the author verifies.

A fix is done when an independent check passes on the real output, not when the person who made it says so.

Verify where it actually runs.

Build output and the live system behave differently. We check the live site or workflow after every deploy.

Every fixed finding becomes a guard.

When we fix a problem, we add a check to your own pipeline so it cannot quietly come back.

Approval levels before go-live.

Anything that moves money, changes where money goes or changes access stays approved by a person, permanently. A clean track record never removes that gate.

Approval screens show the payload.

The person approving sees the amount, the recipient, the change and the source, not just a button.

"Done" lists every part.

A multi-part job is complete only when each part has its own evidence.

Everything is logged, then read back.

What was done, what surprised us and how it was checked. Once a month the lessons become rules.

Common questions

How long does a typical project take?

It depends on scope. A focused automation build might take 1–2 weeks. A full website rebuild with SEO setup is typically 4–6 weeks. We'll give you a clear timeline in the discovery call before any work begins.

Do I need to be technical to work with you?

Not at all. We translate everything into plain language and build systems your team can actually use. We also document everything so you're not dependent on us forever.

What does a retainer engagement look like?

Retainers range from a monthly hours bank for ongoing support, to a full Growth Partner arrangement with defined monthly deliverables across automation, web, and marketing. We'll recommend the right model based on your needs.

Can you work with the tools we already have?

Usually yes. We're tool-agnostic and have experience integrating with most common business platforms. If something won't work for your goals, we'll tell you honestly and recommend an alternative.

Do you work with businesses outside Oklahoma?

Yes. We work remotely with clients across the US. All discovery calls, project updates, and check-ins happen via video call and async communication.

What if I only need one thing, like just a website or just an automation?

That's completely fine. We offer standalone project engagements across all our service lines. You don't have to buy everything to work with us.
